A supplier can be onboarded in as little as a few hours depending on how quickly the information is uploaded to the platform. The onboarding will be reviewed by the onboarding team. Ultimately this duration is dependent on how quickly documents are to hand and how quickly agreements can be signed by the supplier. 

Matrix SCM and Matrix Milestone use two separate platforms. Due to how different the solutions operate, we have different requirements for the different platforms. This means you will have to start a new onboarding, regardless if you are already onboarded with Matrix SCM. 

Suppliers are not charged for registration, accreditation or participation in bid opportunities via Matrix Milestone. The only charge is the management fee for any Milestone approved. Essentially, you won't be charged until you are awarded work and payment is approved. 

All projects procured via Matrix Milestone are subject to a percentage management fee which will be dependent on the client and the award type. This can be either client absorbed or supplier absorbed, which will be outlined in the proposal stage. Please ensure you review this section before submitting your proposal. 

If the project is set up for supplier to absorb fee, the management fee will be deducted from your proposal fee in the Work Order and invoicing if your tender is successful. This management fee should be included within your pricing submission and not shown separately. 

You will be sent an invitation by email to bid for an opportunity and you can indicate on the platform if you are intending to bid or not. 

Only open tenders will be visible for all suppliers within the project category to view and bid on. This type of project isn’t as frequent as mini competition or direct awards. 

Our Business Categories section can help Matrix Milestone shortlist suppliers for future work. Clients and Matrix Milestone may also contact suppliers prior to a project going live to discuss potential opportunities. 

You do not need to upload any invoices to the Matrix platform. Matrix Milestone is a self-bill invoicing platform, therefore you will receive a self-bill invoice from the Matrix Milestone finance team confirming payment amount once a milestone has been approved. 

Self-billing means the issue of a VAT invoice by Matrix Milestone to Suppliers, in respect of amounts owed to the Supplier for the supply of services. 

Once a Milestone has been approved, you will receive your self-bill invoice the following Thursday. The cut off for Milestone approvals is Wednesday at 12:00am.

NOTE – if a milestone is approved on a Thursday, you will not receive a self-bill invoice until the following Thursday. 

Yes, if you are VAT registered, your self-bill invoice will include VAT. Please contact us if your VAT status changes.

All prices shown on the Matrix Milestone platform exclude VAT. 

Payment will be made 30 days from the date of the self-bill invoice (not when a Milestone has been approved). 

If the project is set up for supplier to absorb the fee, the fee will be deducted from your proposal. 

If the project is set up for no deductions to be made, the supplier should enter the amount that they are expecting to receive. 

Yes, we encourage all suppliers to refer additional clients to Matrix.
